This Privacy Policy describes how RealRobin, Inc. collects, uses, stores, and shares your personal information when you use the Keyseason platform. By using Keyseason, you agree to the practices described in this policy.

Your privacy matters to us. RealRobin, Inc. operates Keyseason as a marketplace for mid-term residential rentals. This policy explains what personal information we collect, why we collect it, and how you can exercise your rights. If you have questions, contact us at [email protected].

1) Who We Are

RealRobin, Inc. ("RealRobin," "we," "us," or "our") is the company that operates the Keyseason platform — an online marketplace connecting property owners with individuals seeking mid-term residential accommodations across the United States.

For the purposes of applicable privacy law, RealRobin, Inc. is the data controller responsible for the personal information collected through the Keyseason platform, website, and related services.

Our principal place of business is in the United States. All personal information we collect is processed and stored in the United States unless otherwise stated in this policy.

2) Scope of This Policy

This Privacy Policy applies to all personal information collected by RealRobin, Inc. in connection with the Keyseason platform, including information collected when you:

This policy does not apply to third-party websites, services, or applications that may be linked to or integrated with Keyseason, including Stripe, Inc. Those services are governed by their own privacy policies, and we encourage you to review them before providing any personal information.

By using the Keyseason platform, you acknowledge that you have read and understood this Privacy Policy. If you do not agree with our practices, please do not use the platform.

3) Information We Collect

We collect personal information that is necessary to operate the Keyseason platform safely and effectively. The categories of information we collect are described below.

We collect only the information that is reasonably necessary for the purposes described in this policy. We do not sell your personal information to third parties for marketing or advertising purposes.

4) How We Collect Information

Directly from you — The majority of the personal information we hold is information you provide to us directly when you create an account, complete your profile, list a property, submit identity verification documents, make or receive a payment, send messages through the platform, or contact our support team.

Automatically as you use the platform — When you access the Keyseason website or application, we automatically collect certain usage and device information, such as your IP address, browser type, and the pages you visit. This information is collected through standard web server logs and similar technologies and is used to operate and improve the platform.

From third-party service providers — We receive certain information from Stripe, Inc. in connection with identity verification and payment processing — for example, verification status, transaction confirmations, and payout processing results. We receive this information only to the extent necessary to operate the platform.

From other Users — Owners and Renters may provide information about each other in the course of a Stay — for example, an Owner may report an issue involving a Renter through the platform. We may retain such information as part of the Stay record.

5) How We Use Your Information

We use the personal information we collect for the following purposes:

To operate the platform: Creating and managing your account; facilitating Stay requests, confirmations, and communications between Owners and Renters; processing payments and payouts; and maintaining Stay records and documentation.

To verify identity and comply with legal obligations: Processing identity and KYC verification through Stripe; complying with applicable financial regulations, anti-money-laundering obligations, and law enforcement requirements; and maintaining records as required by law.

To ensure platform safety and integrity: Detecting, investigating, and preventing fraud, abuse, and violations of our Terms of Service or Rental Agreement; enforcing our policies; and protecting the rights and safety of our Users and third parties.

To communicate with you: Sending Stay confirmations, payment receipts, platform notifications, and important account or policy updates; responding to support requests and disputes; and delivering notices required under the Rental Agreement.

To improve the platform: Analysing usage patterns and platform performance to identify and fix issues, develop new features, and improve the overall user experience. This is done using aggregated or anonymised data where possible.

To resolve disputes: Maintaining records of communications, transactions, and Stay history to support dispute resolution between Owners and Renters.

To comply with legal obligations: Responding to valid legal process, such as court orders, subpoenas, or government requests; enforcing our legal rights; and meeting our obligations under applicable law.

We process your personal information only where we have a lawful basis to do so — primarily because it is necessary to perform our contract with you (operating the platform and facilitating Stays), to comply with a legal obligation, or because we have a legitimate interest in doing so that is not overridden by your privacy interests.

6) How We Share Your Information

We do not sell your personal information. We share personal information only in the limited circumstances described below.

Between Owners and Renters: When a Stay is confirmed, we share limited personal information between the Owner and Renter as necessary to facilitate the rental — for example, sharing the Renter's name and contact information with the Owner, and the Owner's contact information and property address with the Renter. This sharing is inherent to the purpose of the platform and is necessary to perform the rental contract.

With our service providers: We share personal information with third-party service providers who process it on our behalf solely to help us operate the platform. Current service providers include:

All service providers are contractually required to process personal information only as instructed by us, to maintain appropriate security measures, and not to use your information for their own purposes beyond what is necessary to provide their services to us.

For legal and safety reasons: We may disclose personal information if we believe in good faith that disclosure is necessary to comply with a legal obligation, respond to a valid legal process (such as a court order or government request), protect the rights or safety of RealRobin, our Users, or the public, or enforce our Terms of Service or Rental Agreement.

In connection with a business transfer: If RealRobin, Inc. is involved in a merger, acquisition, financing, or sale of all or a portion of its assets, personal information we hold may be transferred to the successor entity as part of that transaction. We will notify Users of any such transfer through the platform or by email, and the successor will be required to honour this Privacy Policy or provide notice of any material changes.

With your consent: We may share your personal information with third parties in any other circumstance where you have given us your explicit consent to do so.

7) Identity & KYC Verification

All Users are required to complete identity and Know Your Customer (KYC) verification before listing a property or confirming a Stay. This verification is conducted through Stripe Identity, a service operated by Stripe, Inc., and is required to comply with applicable financial regulations and to promote trust and safety on the platform.

What you submit: As part of the verification process, you will be asked to submit a government-issued photo identification document and a selfie or live photo. Business account holders may also be required to submit business registration documents.

How it is processed: Verification materials are submitted directly to and processed by Stripe, Inc. in accordance with Stripe's Privacy Policy and Terms of Service. RealRobin, Inc. receives a verification status result from Stripe (e.g., verified or not verified) and stores this result alongside your account record. We do not independently store raw copies of your identification documents beyond the period required for verification processing.

Retention of verification data: Stripe retains verification data in accordance with its own data retention policies and applicable law. RealRobin retains your verification status and associated account metadata for as long as your account remains active and for a reasonable period thereafter as required by our legal and compliance obligations.

Limits of verification: Completion of identity verification confirms that submitted documents passed Stripe's verification process at the time of submission. It does not constitute a background check, criminal history search, or endorsement of any User by RealRobin, Inc.

8) Payment Information

All payment processing on the Keyseason platform is handled by Stripe, Inc. RealRobin, Inc. does not directly collect, store, or process raw payment card numbers, bank account credentials, or other sensitive financial instruments.

When you provide payment information through the Keyseason platform, that information is transmitted directly to Stripe using secure encryption. Stripe stores and processes it in accordance with the Payment Card Industry Data Security Standard (PCI-DSS) and its own Privacy Policy.

RealRobin, Inc. receives and retains non-sensitive transaction metadata from Stripe — such as transaction amounts, dates, status, and truncated payment method identifiers — for the purposes of Stay record-keeping, dispute resolution, payout management, and financial reporting.

Security deposit amounts collected through the platform are held by Keyseason (via Stripe) on behalf of the Owner for the duration of the tenancy and returned or applied in accordance with the Rental Agreement and applicable state law.

9) Communications & Platform Messages

All messages sent between Owners and Renters through the Keyseason platform messaging system are stored by RealRobin, Inc. as part of the Stay record. This includes maintenance requests, notices, dispute communications, and general correspondence related to a Stay.

We retain platform messages for the following reasons: to maintain accurate Stay records; to support dispute resolution between Owners and Renters; to enable platform policy enforcement; and to comply with applicable legal obligations.

We may review the content of platform messages where necessary to investigate reported violations of our Terms of Service or Rental Agreement, to respond to legal process, or to resolve disputes. We do not routinely monitor message content for advertising or marketing purposes.

Transactional communications: We will send you emails and platform notifications relating to your account and Stays — such as Stay confirmations, payment receipts, termination notices, and policy updates. These communications are necessary for the operation of the platform and cannot be opted out of while your account remains active.

Support communications: When you contact our support team, we retain records of those communications and any information you provide in order to assist you and to improve our services.

10) Cookies & Similar Technologies

Keyseason uses a limited set of cookies and similar technologies that are strictly necessary to operate the platform. We do not currently use analytics platforms, advertising networks, or third-party tracking tools.

Essential cookies: We use session cookies and similar technologies that are strictly necessary to keep you logged in, maintain your session state, secure your account, and enable core platform features. These cookies cannot be disabled without affecting your ability to use the platform.

What we do not do: We do not use advertising cookies, retargeting pixels, cross-site tracking technologies, or third-party analytics tools. We do not share your browsing behaviour with advertisers or data brokers. Keyseason products are free of advertising, and we do not allow advertisers to target you through our platform.

Browser controls: You can configure your browser to block or delete cookies. Blocking essential cookies may prevent you from logging in or using certain platform features. Because we use only essential cookies, a "cookie preference" centre is not currently provided.

If we introduce any new cookies or tracking technologies in the future, we will update this policy and notify Users accordingly before those technologies are deployed.

11) Data Retention

We retain personal information for as long as is necessary to fulfil the purposes for which it was collected, to maintain your account, and to comply with our legal obligations. The general retention principles we apply are as follows:

When personal information is no longer required, we take reasonable steps to delete, anonymise, or de-identify it. Some information may be retained in anonymised or aggregated form for analytical purposes after the applicable retention period has expired.

12) Data Security

RealRobin, Inc. takes reasonable and appropriate technical and organisational measures to protect personal information against unauthorised access, disclosure, alteration, loss, or destruction. Our security practices include:

No method of transmission over the internet or method of electronic storage is completely secure. While we take the security of your personal information seriously and implement appropriate safeguards, we cannot guarantee absolute security.

Security incidents: In the event of a data breach that is likely to result in a risk to your rights and freedoms, RealRobin, Inc. will notify affected Users as required by applicable law, without undue delay. Notification will be provided through the platform and/or by email to the address on file.

You also play a role in keeping your information secure. Please use a strong, unique password for your Keyseason account and notify us immediately at [email protected] if you believe your account has been compromised.

13) Children's Privacy

The Keyseason platform is intended solely for use by individuals who are at least 18 years of age. We do not knowingly collect personal information from children under the age of 13, and the platform is not directed at or designed for use by children.

If we become aware that we have inadvertently collected personal information from a child under 13 without verifiable parental consent, we will take prompt steps to delete that information from our systems. If you believe that we may have collected information from a child under 13, please contact us immediately at [email protected].

14) Your Privacy Rights

Depending on your state of residence, you may have certain rights with respect to the personal information we hold about you. We are committed to honouring these rights to the extent required by applicable law.

Right to Correction — You may request that we correct inaccurate or incomplete personal information we hold about you.

We will honour such requests to the extent required by law, subject to our right to retain information where we have a legal obligation, a legitimate interest in doing so, or a need to complete a transaction or resolve a dispute.

Right to Opt Out of Sale — We do not sell personal information. You therefore have no need to opt out, but you have the right to confirm this at any time by contacting us.

Right to Non-Discrimination — We will not deny you services, charge you different prices, or provide a different level of service because you have exercised a privacy right.

State-specific rights: Users residing in California and certain other states may have additional rights under applicable state privacy law, including the California Consumer Privacy Act (CCPA) as amended by the California Privacy Rights Act (CPRA). Where such rights apply, we will honour them in accordance with the requirements of the relevant law. Because Keyseason operates as a US-wide platform, we apply a consistent baseline of privacy rights to all Users regardless of state of residence.

We will verify your identity before processing any request and will respond within the timeframe required by applicable law — generally within 45 days, with an extension available where permitted.

Authorised agents: You may designate an authorised agent to submit privacy requests on your behalf. We may require written confirmation of the agent's authority and may verify your identity directly before honouring a request submitted by an agent.

15) Changes to This Policy

RealRobin, Inc. may update this Privacy Policy from time to time to reflect changes in our practices, platform features, or applicable law. When we make material changes, we will notify Users by email to the address on file, by an in-platform notification, or by updating the "Effective Date" at the top of this page — or a combination of these methods.

We encourage you to review this policy periodically. Continued use of the Keyseason platform after the effective date of any update constitutes your acceptance of the revised policy. If you do not agree to the updated policy, you must stop using the platform and may close your account.

Where changes materially affect the way we handle personal information you have already provided, we will seek your consent where required by applicable law before applying those changes to your existing data.
